EIU Approved AI Tools

This page is the current list of EIU Approved AI Tools and the highest data classification each one is authorized to handle. It is maintained by Information Technology Services under [LINK TO IGP]

What you may enter into an AI tool depends on how the information is classified. Determine whether the information is Public, Internal, or Confidential using the Guidelines on Information Classification, then confirm the tool below is approved at that level.

Use an EIU Approved AI Tool rather than a personal or consumer subscription when conducting University business.

Approved AI tools With Data Sharing Agreement

Tool Who may use it Highest classification permitted
Microsoft Copilot All faculty and staff Confidential
GitHub Copilot Individually assigned based on job duties Confidential

Other AI tools may be approved by an individual or department, but they may only be used with Public or Internal information. Use them with caution and in compliance with all other University policies and unit rules.

Examples of how common University documents are classified are available at go.eiu.edu/data-examples. If a document is not listed or its classification is unclear, treat it as Internal and contact ITS at support@eiu.edu before using it with an AI tool.

The policy also sets specific limits on the use of likeness, voice, and biometric data, as well as research data and unpublished work. Review IGP #___ before using an AI tool with any of these.

Tools not on this list

Any AI tool not listed here is an Individual AI Tool under the policy, including free versions, trials, browser extensions, meeting transcription and note taking assistants, and AI features turned on inside software the University has not reviewed. Individual AI Tools may be used with Public/Internal information only.

Departments and units may not acquire, license, pilot, or deploy an AI tool for University use, including tools obtained free of charge and new AI features enabled in existing software, without submitting it for review first. Submit the new software tool review form. Each tool is reviewed for security, privacy, contractual, accessibility, duplicative service, and legal considerations, and for the maximum data classification it may be authorized to handle. A tool is not approved for use with University information until it appears on this page at that classification level.

Cost and funding

AI tools are funded by departmental or local funds. There is no central funding for AI licenses. Purchases must follow the standard procurement process and be processed through a purchase order rather than a procurement card where terms and conditions apply.
