Housing Moveout Procedures




Can I come now to move out?

We are now able to launch signs-ups for our move-out process that will begin May 1.  To ensure this move-out process occurs in the safest, healthiest, and most efficient way possible, we will continue to comply with CDC guidelines during this process. The move-out schedule has been planned to promote social distancing to best protect the health and safety of our students and staff. 


How do I sign up for a move out appointment? 

Schedule to move out at  We will practice social distancing in alignment with recommendations from the Center for Disease Control and Prevention (CDC) and the Governor. As a result, a limited number of appointments are available for each timeslot. This will minimize the number of students moving out at any one time.  

University Housing will be open for move-out as follows: 

  • Monday to Friday:  9 a.m. to 7 p.m. 

  • Saturday and Sunday:  9 a.m. to 8 p.m.   


Is the time I signed up for the time I should arrive on campus?

Yes, this is the time you should arrive at your on campus residence to begin the move out process.  A staff member will be reaching out to you’re the day before your move out to confirm the date and time with some final instructions specific to that building/area. 


Will there be assistance for move out? 

There will no assistance by EIU staff or volunteers.  Students should plan to bring no more than 2 additional people with them to assist in moving out.  All persons coming to campus should be in good health.  

Individuals who fall into any of the categories noted below cannot help residents move out. 

  • Anyone who has tested positive for or exhibits symptoms of COVID-19 or other respiratory/flu-like illness 

  • Older adults 

  • People who have serious underlying medical conditions such as: 

    • Heart disease 

    • Diabetes 

    • Lung disease 

    • Asthma 

    • HIV/AIDS 

    • Women who are pregnant 

Students and all helpers must come prepared with cleaning supplies, antibacterial wipes, masks and gloves to wear while moving out of their room to help protect yourself and others. 


After I have scheduled my appointment, what are the move out steps?


Step 1: Use the self-check guide to check yourself for COVID symptoms prior to arriving on campus.   

Step 2: Call the on-call number to alert staff that you have arrived for checkout.  Look on the exterior doors for an on-call number if you have questions upon your arrival.  

Step 3: Parking. When you arrive leave your car in the parking lot until your belongings are packed.  

Step 4: Pack your belongings. Everything must be taken with you or put in the dumpster.  

Step 5: Retrieve a cart, if needed. A limited number of carts will be available. Transport your belongings to the loading area.  It is up to you to sanitize the cart prior to using. 

Step 6: Bring your car to the loading area and transfer your belongings. (Please note there is a 30-minute time limit for vehicles in the loading area).    

Step 7: Wipe down your cart with antibacterial wipes and return your cart to the lobby of your residence hall.   

Step 8: Return your room furniture to the bunk configuration and the room arrangement according to the instructions included at  

Step 9: Ensure your keys have been left on your desk. Complete the Check-out form at stating you have cleared your room, attach your room picture and leave your keys on your desk.  This form will be considered your official check-out notice.  


  • Bring a cart or dollwith you.   

  • Limit the number of people in an elevator.  Only members of your moving party should ride the elevator together.    

  • Able-bodied individuals not pushing a cart are asked to take the stairs. 



All students who currently are no longer residing on campus as a response to the COVID-19 pandemic will be provided a prorated credit to their university account for the time period from March 23rd through the remainder of the semester. The credit will be first applied to any balance on the account, and then a refund check or direct deposit for any excess credit will be sent to the student’s permanent address in late April. For additional information on signing up for a direct deposit, students can visit Dining Dollars not yet used will be rolled over to the 2020-21 school year.


Will my mail be forwarded?

Our priority is the health and safety of our students.  Mail forwarding may be delayed. As we are able, we will forward all 1st class mail and packages to the permanent address that students have on file with the University.  If students need to update their permanent address, students can send the information to from their Panthermail account, or contact the Registrar's Office for additional instructions at 217-581-3511.


I already moved out my items before spring break, can I send my key back?

Yes, please use a certified letter or courier service to track the envelope. We recommend you wrap the key in something like a napkin or several sheets of paper and tape the corners of the envelope, so the key doesn’t poke through the envelope and gets lost. Send the tracking code along with your name, E#, hall and room number.

I’m approved to stay on campus – is dining services open? 

No, Starting Monday, May 11, 2020 there will be no dining options available on campus.  


Residents currently on-campus, where do I get my mail? 

Residents currently on campus can pick up/check their mail at the Lawson Hall Desk.  The desk will be open Monday – Saturday from 9:00 am to 6:00 pm and Sundays from 11:00 am to 6:00 pm.  Residents will be required to present a photo-id to retrieve their mail.  

Starting Monday, May 11 summer residents can pick up/check their mail at the University Court.  The desk will be open Monday - Friday from 9:00 am to 4:00 pm and Saturday from 9:00 am to 12 pm.  The office will be closed on Sundays.
