Administrative Voice Mail
 

Voice mail is a frequently used communication tool on campus and the business community at large.  It serves as a means to avoid missing important messages, which promotes good customer service to both our external and internal customers.

Voice mail can also route incoming calls through menu selection to efficiently guide callers to their appropriate destination.

Setting Up Your Voice Mailbox

This process must be completed prior to using your Voice Mail

Step 1 - Access the University Voice Mail system

  • Dial 348-0400
  • Enter your temporary password which is the same as your seven digit phone number. (ex. if your number is 581-1010 then that is also your temporary password.)

Step 2 - Change your password

  • Enter four to fifteen numbers for your new password. (FYI - Make sure it's one that you can remember.  If you forget your password, your messages will be irretrievable.)

Step 3 - Record your Name

Step 4 - Record your personal greeting

  • To use the standard greeting, press [1]
  • To record a personal greeting, press [2].  Speak clearly into the handset.
  • Press [#] to end your message.
  • If you wish to re-record your personal greeting, press [*].

Step 5 - Listen to the rest of the voice mail tutorial and follow the prompts.

Step 6 - Press [*] to exit from voice mail and hang up your phone.

Guidelines For Your Greeting

Your personal greeting can continue up to 2 minutes.

Step 1 - Write out and practice your message before recording.

Step 2 - Try to convey a personable and upbeat attitude in your voice (try smiling)

Step 3 - Be sure to supply the following information to your callers:

  • Your Name
  • Your Department
  • Where you are (in/out the office; out until Tuesday, March 26; etc)
  • When you will return

Example:

"Hi, this is Sara Jones in registration.  I am in a meeting today until 1:30 p.m..  Please leave a detailed message and I will return your call as soon as possible.  If you need further assistance, please call Tara at 581-xxxx.  Have a nice day."

Retrieving Your Messages

The university's voice mail system provides notification of a new voice mail either by stutter dial tone or an optional light indicator.  The method you will use to access your messages will depend on whether you are at your office or an off site location.

Your messages will be played in the order from urgent to saved messages, with the oldest message in each category being played first.

From your Office:

Step 1 - From your EIU phone, dial your Access Number 348-0400.

Step 2 - Proceed to Listening to your voice mail.

From an Off-Site Location:

Step 1 - Dial your access number, with area code when necessary.

Step 2 - Wait for the system greeting and then Press [#]

Step 3 - Dial your mailbox number (seven digit phone number)

Step 4 - Proceed to Listening to your voice mail

Listening to your voice mail

Enter your password.  You will be at the Main Menu.

  • To listen to your new unheard messages, Press [1] [1]
  • To review all saved messages, Press [1]
  • Press [4] to Replay
  • Press [7] to Erase
  • Press [9] to Save
  • Press [*] to Exit Voice mail

You will have the following options while listening to your messages:

  • Press [#] to skip to the next message
  • Press [1] to Rewind the last 10 seconds
  • Press [11] to Rewind to the beginning
  • Press [3] to Fast forward 10 seconds
  • Press [33] to Fast forward to end
  • Press [9] to Increase message volume
  • Press [8] to Restore message volume

Voice Mail Box Capacity

Your mailbox is set up to receive a maximum of 32 messages and will be stored for up to 30 days.  When your mailbox is full, you cannot receive more messages.  Please routinely erase new or saved messages that are no longer needed.

Forwarding Messages

You can share a voice mail message with another individual on the EIU campus by using the forwarding feature.

Step 1 - Press [6] after the message has ended

Step 2 - At the tone, record your introduction to the message.

Step 3 - Press [#] when your introduction is complete

Step 4 - Enter the destination number (seven digits)

Step 5 - Press [#] to send the message

Changing Your Recorded Name

Step 1 - Access your voice mailbox

Step 2 - At the main menu, Press [4] for "Personal Options"

Step 3 - Press [3] for "Greetings"

Step 4 - Press [3] for "Recorded Name"

Step 5 - At the tone, record your first and last name and Press [#]

Step 6 - Press [*] if you wish to re-record your name

Step 7 - Press [#] if you are satisfied with your recording

Step 8 - Press [*] to exit

Changing Your Personal Greeting

Step 1 - Access your voice mailbox

Step 2 - At the main menu, Press [4] for "Personal Options"

Step 3 - Press [3] for "Greetings"

Step 4 - Press [1] for "Personal Greeting"

Step 5 - At the tone, record a new greeting

Step 6 - Press [1] to review what you recorded

Step 7 - Press [*] to re-record the greeting

Step 8 - Press [#] to indicate the end of the greeting

Changing Your Password

Step 1 - Access your voice mailbox

Step 2 - At the main menu, Press [4] for "Personal Options"

Step 3 - Press [2] for "Administrative Options"

Step 4 - Press [1] for "Change Password"

Step 5 - Enter your new 4 to 15 digit password

Step 6 - Press [#] to indicate that you have entered the new password

Set Voice Mail to Automatically Answer Your Line

If you have call forwarding, you can set up voice mail to automatically answer your line when you are out of the office.

Step 1 - Follow the directions to forward your phone.

Step 2 - Seen instructions for multi-line phone set or single line phone set

Step 3 - Be sure to program the complete call pattern to voice mail  (348-0400)
