Time and Attendance Faculty, Administrative & Professional, and Civil Service Exempt
Salaried employees include those in faculty, administrative & professional and civil service exempt positions. These employees are paid on a monthly basis according to the terms of their contracts. Salaried employees do not fill out time cards. Fiscal agents are, however, responsible for recording benefit usage for each monthly-paid employee that reports to them. Benefit usage is recorded on the Positive Time Roster:
The Positive Time Roster for a department lists employees that work in that department or report to the fiscal agent of that department. Employees are shown alphabetically, by position code. Position codes are as follows:
A=Administrative
C=Civil Service Exempt
M=Miscellaneous Faculty
S=Summer Faculty
B=Department Chair
F=Faculty
R=Early Retirement
T=Temporary Civil Service
Do not record benefits for any contract designated with an "X" in the SAV column. The benefits reported on the roster are to be the benefits used during the preceding month. For example, the roster that is to be turned in in February will reflect employees' benefits used in January. The rosters are normally due in the Payroll Office by the 10th of each month. When the 10th falls on a weekend, the rosters will be due on the following Monday.
On the far right side of the roster, the accrued leave and sick leave balances are listed as of the previous roster. Benefit usage for any given month cannot exceed the balance available for that month.
The center section of the roster is set up in columns with blank lines on which to record the number of days that an employee used for Accrued Leave (AL-Code 710), Sick Leave (SL-Code 720), Family Leave (FL-Code 721) and Other (Code 770). Benefits can only be used in 1/2 day increments. The "Other" column would be used to record days off that do not require benefits to be used. This could include things like holidays, jury duty or bereavement leave. If you have questions concerning events that fall into the "Other" category, contact Benefits Services at 581- 5825. The "Totals" line is the total number of days entered into each column.
Below the "Totals" line, there is a line to record any Leave Without Pay. If an employee has taken time off without pay during the month, it must be recorded on this line. Once the Positive Time Roster is complete, the fiscal agent or fiscal agent's designee must sign it.
